Admin and Human Resource (HR) Executive
Job Description :
Admin and Human resource (HR) Executive is responsible for ensuring that the office is operationally efficient and effective. Company has qualified staff in sufficient numbers to meet the strategic objectives. Responsible for setting strategic human resource and administrative direction; providing a perspective on growth and expansion; and supporting and sustaining a culture of as a great place to work.
Administration Activities :
Custodian of the office facility
Prepare and implement best suited standard operating procedure (SOP)
Make certain that all administrative systems and processes are highly reliable, finely tuned and well delivered with an aim toward pro-action rather than reaction
Organize office operations and procedures
Develop and maintain high level office culture
Attendance, timing and access control
Monitor and control office resource like Vehicles, Electricity, etc
Responsible for all the official correspondences
Review and approve supply requisitions for office accessories
Liaise with other agencies, guests, organizations and others
Prepare budget for the office maintenance/development
Contract management, payments and renewal (Loans, Internet, electricity and Telephone)
Establish accounting and administrative internal controls to ensure the company assets are protected from the financial mis management
Make sure the overall office appearance maintained in good quality.
HR Activities :
Develop and implement HR strategies and initiatives aligned with the overall business strategy
Recruits qualified employees and train them in accordance with company standards.
Ensuring compliance with legal, contractual or statutory procedures on personnel management such as recruiting, welfare benefits and work contract termination.
Nurture a positive working environment
Motivates and advise direction to all employees.
Communicates company vision, policies and procedures to entire staff.
Conducts regular meetings to provide various information including company communications, policy reviews, goals, etc.
Implement and maintain updated Human Resource Information System (HRIS)
Prepare and maintain employee matrix and Job description
Preparation and maintenance of employee’s contracts
Preparation of monthly salary statement
Conducts coaching/counselling sessions; performance evaluations; prepares performance improvement plans, disciplinary documentation; conducts terminations.
Ensures that employee related issues are resolved in a timely manner consistent with company policies.
Maintaining HR records, documentation of all employees in the organization
Recording, maintaining and monitoring attendance to ensure employee punctuality
Conducting employee orientation and facilitating newcomers joining formalities Plan the entire staff vacation schedule according to the business requirements
Oversee and manage a performance appraisal system that drives high performance
Engaging with employees on a regular basis to understand the motivation levels of people in the organization and record the result.
Encourage self development among the employees through job training, seminar, workshop and provide cross training among the staff position to improve member service enhance internal control
